This privacy policy has been prepared in accordance with Articles 13 and 14 of the GDPR and contains mandatory information about how we, in our capacity as data controller, process personal data relating to our participants, business partners and suppliers, applicants, website visitors, and others who contact us or whose information we otherwise receive or collect.

2. Processing of Personal Data

The scope of our processing of your personal data will vary depending on your relationship with us. Below, you can read more about how we process your personal data depending on your relation to us.

If You Participate in Our Events

We process your personal data if you participate in our events, such as Ignite, Odin Awards, or similar events. We collect your information directly from you.

In these cases, we may process the following personal data about you:

  • Name
  • Email address
  • Address
  • Employer
  • Job title
  • Telephone number
  • Photograph/image

Where you provide us with additional information about yourself, we will also process such personal data to the extent necessary for the purpose.

Purpose

If you participate in our events, we process your personal data in order to fulfill our contractual obligations pursuant to an agreement with you or the company you are employed by. The purpose of processing your personal data is therefore to provide you with access to our events.

Our legal basis for this processing is GDPR Article 6(1)(b).

If You Are a Business Partner

We process your personal data if you are a supplier or business partner, or if you are a contact person for one of our suppliers or business partners. We collect your information either directly from you or from the company you are employed by.

In these cases, we may process the following personal data about you:

  • Name
  • Email address
  • Address
  • Employer
  • Job title
  • Telephone number
  • Photograph/image

Where you provide us with additional information about yourself, we will also process such personal data to the extent necessary for the purpose.

Purpose

We process your personal data for the purpose of entering into or fulfilling an agreement with you or the company for which you are the contact person. Our legal basis for this processing is GDPR Article 6(1)(b).

In certain cases, we may disclose your information to other business partners, suppliers, or participants. Such disclosure will only take place for the purpose of fulfilling our contractual obligations to you. We only disclose your personal data where we have a valid legal basis to do so, as described above.

If You Apply for a Job at Foreningen Ignite

We process your personal data if you apply for a position with us. As a general rule, we collect all information directly from you, but in certain cases we may collect information from references provided by you.

In these cases, we may process the following personal data about you:

  • Name
  • Email address
  • Home address
  • Current and previous employment
  • Telephone number
  • Education
  • CV, potentially including your photograph/image

Where you provide us with additional information about yourself, we will also process such personal data to the extent necessary for the purpose.

Purpose

The purpose of processing your personal data is to assess whether you may be a suitable candidate and to invite you for an interview with a view to potentially offering you employment with us.

Our legal basis for processing your personal data for these purposes is GDPR Article 6(1)(f), as we have a legitimate interest in assessing your suitability for a specific or future position at Foreningen Ignite based on the information we have received.

If you are not employed by Foreningen Ignite, we may retain your application for documentation purposes relating to the recruitment process, but we will generally delete your application no later than six months after the recruitment process begins.

If we wish to retain your application and attachments for future relevant positions, we will obtain your consent for continued storage for a limited period pursuant to GDPR Article 6(1)(a).

If You Contact Us

We process your personal data if you contact us by email or telephone. We only process personal data received directly from you in connection with your inquiry.

In these cases, we may process the following personal data about you:

  • Address
  • Employer
  • Telephone number

Where you provide us with additional information about yourself, we will also process such personal data to the extent necessary for the purpose.

Purpose

We process your personal data in order to respond to your inquiry. Our legal basis for this processing is GDPR Article 6(1)(f). We have therefore conducted a balancing test between our interest in responding to your inquiry and your interest in not having your personal data processed by us.

If You Receive Marketing by Email or Telephone

We process your personal data if you receive our newsletter or other marketing communications. We only process personal data that you have provided to us yourself.

In these cases, we may process the following personal data about you:

  • Name
  • Email address
  • Address
  • Employer
  • Telephone number

Purpose

We process your personal data for the purpose of sending marketing communications. Our legal basis for this processing is GDPR Article 6(1)(a). This means that we only process your personal data for marketing purposes if you have given your consent.

If You Visit Our Website or Social Media

We process your personal data when you visit and interact with us via our website or social media platforms. We only process personal data that is automatically collected in connection with your visit to our website, as well as personal data that you share with us via social media.

In these cases, we may process the following personal data about you:

  • Date and time of visits to our website
  • Pages visited on the website
  • Visitor IP address
  • Information about the browser and device used (type, version, operating system, etc.)
  • Referring URL (the page from which the visitor arrived at our website)
  • Information you share with us via social media

Purpose

We process your information to ensure usability and security, and to optimize and operate our digital solutions.

We also process your personal data in order to interact with you via our social media channels, including contacting you and promoting our marketing activities.

Our legal basis for processing your personal data is GDPR Article 6(1)(a) and (f), respectively. Where you have given consent to the processing of your personal data, for example through cookies, you may withdraw this consent at any time.

Where we process your personal data based on our legitimate interest, we have conducted a balancing test between our interest in interacting with you via social media and your interest in not having your personal data processed.

When we process your personal data via social media platforms, we act as joint data controllers together with the relevant social media provider, as both Foreningen Ignite and the social media platform process your personal data for their own purposes.

3. Disclosure of Information

We only disclose your information to third parties where we have a valid legal basis for doing so.

In certain cases, we entrust your personal data to our system providers, who process your personal data on our behalf and according to our specific instructions. In such cases, we have entered into data processing agreements to ensure that your personal data is processed appropriately.

In some cases, we may use data processors located outside the EU/EEA, which means that personal data may be transferred to third countries. Such transfers take place on the basis of data processing agreements containing a valid transfer mechanism and appropriate safeguards.

4. Retention of Information

We retain your personal data for as long as necessary for the relevant purpose. This is determined based on a specific assessment of the significance of the information for fulfilling our obligations and purposes.

As a general rule, we retain personal data throughout the duration of the customer, supplier, or business relationship and for five years thereafter in accordance with our statutory obligations under the Danish Bookkeeping Act.

Where processing of your personal data is based on consent, we retain your personal data until we no longer have a purpose for doing so or until the consent is withdrawn.

In some cases, we will also retain personal data necessary to protect our legitimate interests, including in connection with disputes and/or protection of the association’s legal rights. In such cases, Foreningen Ignite has carried out a balancing test pursuant to GDPR Article 6(1)(f).

5. Security Measures

In accordance with the data protection principles of lawful and transparent processing, we strive for data minimization and storage limitation and maintain the integrity and accountability necessary for fair processing.

Right of Access

You have the right to access the personal data we process about you, as well as additional information about the processing.

Right to Rectification

You have the right to have inaccurate data corrected.

Right to Erasure

In certain cases, you have the right to have data deleted before our general deletion procedures apply.

Right to Restriction of Processing

In certain cases, you have the right to restrict the processing of your personal data. If you have the right to restrict processing, processing — apart from storage — may in future only take place with your consent or for the establishment, exercise, or defense of legal claims, or to protect a person or important public interests.

Right to Object

In certain cases, you have the right to object to our processing of your personal data or to the legal basis for such processing. You also have the right to object to our processing of your personal data for direct marketing purposes.

Right to Data Portability

You have the right to receive the personal data you have provided in a structured, commonly used, and machine-readable format and to have the data transferred from one controller to another without hindrance.

Right to Withdraw Consent

Where consent is the legal basis for processing your personal data, you have the right to withdraw your consent at any time. If you choose to withdraw your consent, this will not affect the lawfulness of processing carried out based on your consent before it was withdrawn.

In connection with exercising the above rights, we may require relevant identification.
